2023.32 Profiles Release

This release features a complete overhaul of the profiles in the system, from Vendors to Clients, to ourselves. The Profiles have been redesigned, recreated, retested. An overview of all of the changes with all functionality can be found here.

The index contains all information for the new profiles and how they function. I will briefly break it down below.


Vendor Profiles (US-4303: 67 total tickets):


Vendor Profile Permissions (US-5514):  Permissions have been updated and consolidated during our profile. For all of the permissions that were combined, if the user had 1 of those permissions, they will be granted the combined permission. There will be no loss in functionality once permissions have been converted. (For a full run down of the permissions, please reach out to Umbrava)


Vendor Name Lock (US-5858)The vendor company name will no longer be editable. Once created, the name will be locked in. This is to prevent issues with billing once vendors take over their own profiles.


Vendor Contacts (US-5348): We have updated vendor contacts to now allow up to 5 phone numbers per contact. A contact can be marked a 'Main Contact' which will pin it to the top of the vendors contact list. These changes also come with the phone number and email address being clickable in the profile to open the necessary app to call or email the vendor.


Vendor Compliance (US-5629): A new section has been added to the vendor profile for their Compliance. This will hold all of their agreements, certifications, and insurances. When an insurance that has been uploaded to compliance expires, it will go to the expired state and automatically make the vendor inactive. Insurances can be renewed before they run out to provide the new insurance information and dates. Anything that has been uploaded can be quickly viewed with our next ticket.


 Compliance Summary (US-5711): A summary of all upcoming, active, and expired compliance for the vendor can be viewed on the vendor details page. Selecting a compliance piece will bring you to view the piece in its entirety in the compliance section of the profile. You can view a history of the compliance in our next ticket.


Compliance History (US-5743): The History of the Compliance will show all iterations of the compliance piece with all of the old documents and information. The history is updated when a compliance piece is renewed, and when viewed, will display in order from newest change to oldest


Client Profiles (US-5221:  25 total tickets): 


Client Profile Permissions (US-5516): The changes made for Client Profile Permissions mirror those changes made for Vendor. The same rules apply. (If you need additional information, please reach out to Umbrava)


Client Addresses (US-5529): Addresses have changed in function slightly for all profiles. In preparation of a future release, we have added the ability to designate if each location is a Business, Billing, or Shipping location. The first address input will always have all 3 types selected and will be the only business address. There must be at minimum one of each address type, so when a new Billing or Shipping location is added, you can remove that type from a previous location. 

Each Billing location can have a contact assigned to it to help designate who handles the Billing at that location for the client.

Addresses and locations can now be validated manually during creation with the input of coordinates.


Self Company Profile (US-5121: 24 total tickets): 


Company Profile Permissions (US-5515): The changes made for Company Profile Permissions mirror the changes made for Vendor/Client Profiles. 


General Overview: We have made many changes to the design and layout of the self company profile. The profile was made to fit the different needs of a Client and Vendor on the system, and an FM will have both views to accommodate. The information that can be changed or set as default varies based on the identity of the profile.


Settings Update:


With the changes that have been made to the profiles, we have changed the way the Settings button at the top right of Umbrava works. We have added some separation between these 3 buttons.


Lets go over them in order. 


Settings Cog: The settings cog update has separated the Work Orders and Projects Settings from the Profile and company settings. The cog will now bring you to update Priorities, Labels, NTE, Project Types and Project Timelines.


User Circle: The user circle has retained its function and brings you to your user profile. You can edit the user profile from here and access Teams and Roles as well.


Company Profile: The top right button on the app will bring you to the Company Profile. From here, you can update your Company Profile and Company Priorities. The user list can also be accessed from this page.


More Features:


Phone Numbers Click to Call (US-5788): We have made changes in the following places to update the phone numbers to be clickable and open your calling app to call:

  1. Vendor List
  2. Client List
  3. Client Locations


Proposal/Invoice PDF Changes (US-5573): We have updated the PDF for all Work Order proposals and invoices to include the Line Item Category and the trade. Since Projects typically have multiple trades, we have updated Project proposals and invoices to show the Line Item Category.


Client Work Order Proposal/Invoice PDF Change (US-4949): Another update to the Client proposal/invoice adds the Tracking Number onto the PDF. This will simplify finding the correct work order this is for.


Bug Fixes:  


Proposal Rate value display (US-5286): We rearranged the proposal PDF to fix a display that was a little wonky. Now a line item can display up to $99,999,999.00.


Vendor Name missing from Import Modal for Projects (US-5775): The Import modal for projects for Proposals and Invoices now has the vendor name.
