2025.21: Pinning Notes and Linking Clock In/Out to Trips

Pinning Notes (US-8327): Important notes in work orders or projects often get buried as new notes are added. This can cause us to miss important information, spend extra time searching for our key notes, duplicate them to bring them to the top, or resort to alternative places to keep the information like the scope of work, scratchpad, or shared internal files. 


To fix this, we've added the ability to pin notes to the top of Work Orders, Projects, and Vendor/Client Profiles.




There are a few ways that you can pin your notes, let's go over them:

  1. While creating a note.
  2. In the notes context menu.
  3. While editing a note.




For Projects, this change also comes with the removal of the Scratchpad. Don't worry, we've taken all of the scratchpad writings, converted them to notes, and pinned them to the top of your Projects notes list for you. 


The notes list for Work Orders has also been updated to now sort by Created Date. Now editing a note in your Work Order will not move the note back to the top of the list.



Linking Clock In/Out to Trips (US-7937): We're making it easier to find everything you need by combining the Clock In/Out tab with the Trips tab. You will no longer see the Clock In/Out tab in your Work Orders and the Trips tab now gives you the ability to clock in/out for your purchase orders in the app. 




You can clock into a scheduled trip, and if you use the phone IVR without a trip existing, we will auto-generate a trip to track when you're are onsite. We’ve added 2 new Clock Out Reasons to help track your Work Orders more accurately.


You can now clock out with the ‘Pause’ and ‘Need Material’ reasons. Pause will put your trips back into the Scheduled status, and will let you clock back into the same trip. A use case for this would be if you arrive to site for an emergency to secure a door for a location, and then need to return at the end of the day to finish securing the location.


Clocking out with the ‘Need Material’ reason will update the Work Order/Purchase Order status to Clocked Out: In Progress automatically.


Once a trip has been clocked into, you can view more detailed Clock In/Out information by clicking on “View Clock In/Out” on the trip. You can see an overall audit of all Clock Ins by clicking the same



At the top of the above image, you will notice a Cancel button. This will allow you to cancel any clock in/out of a trip, which in turn will allow you to cancel the trip.


Completing your Work Orders will now require all of your clock ins to be clocked out. Any trip that is scheduled when a Work Order is closed will automatically be completed. 




Attempting to complete a Purchase Order when a trip is clocked in will prompt you to clock out first and we will bring you to the trip.


There are a couple of changes that you should be aware of with this feature release as well.

  1. Removal of the magic link in the Purchase Order
  2. Can only clock into a Work Order on the web app when there is a trip created
    1. You have to create a trip to clock in to
  3. Removal of Clock In/Out option in the multi-function button
    1. This has been added to the individual trips for better details
  4. We will be canceling all existing ‘Invalid’ clock ins
    1. Any Work Order/Purchase Order that is:
      1. Revoked
      2. Declined
      3. Pending Acceptance
    2. We will be canceling any existing clock in that is over 24 hours long



Bug Fixes:        


Certain Notifications Failing to Send (US-8589): We fixed a bug that was causing notifications to not properly send based on certain priority settings.


PDF fields causing Download/Email to fail to send (US-8173): We fixed field limits in our PDFs to prevent failure of downloading the files and being able to send them out.
